Precision Institute of Dance (“Precision”, “we”, “us” or “our”) respects your privacy and is committed to handling personal information responsibly. This policy explains what information we collect, why we collect it, how we use and protect it, and the choices available to you.

1. Who this policy applies to

This policy applies to dancers, parents and guardians, personal-training clients, online members, prospective families, website visitors, staff, contractors and anyone who communicates or does business with Precision.

2. Information we collect

Depending on your relationship with us, we may collect:

• Names, dates of birth, contact details and emergency contacts

• A dancer’s age, experience, goals, class preferences, attendance and enrolment history

• Account, billing, transaction and payment-plan information

• Health, injury, allergy, medication, disability, accessibility and other safety information that you choose to provide or that is reasonably required to deliver our services safely

• Progress notes, assessments, training results and teacher observations

• Photographs, video or audio where appropriate consent has been provided

• Messages, enquiries, feedback, complaints and records of our communications

• Website usage information, device information, cookies and analytics data

• Information required for competitions, examinations, performances, workshops, qualifications or other activities

• Information supplied in job, contractor or volunteer applications

We do not intentionally collect more personal information than is reasonably needed for our activities.

3. Information about children

Most of our dancers are under 18. We generally collect information about children from, or with the knowledge of, their parent or legal guardian. Parents and guardians should only provide information they are authorised to provide. We use children’s information only for legitimate studio, training, safety, administration and communication purposes.

4. How we collect information

We may collect information directly from you through our website, forms, trial bookings, enrolments, assessments, emails, telephone calls, text messages, social media, Studio Pro, GoHighLevel, BAND, Trainerize, payment systems and in-person interactions.

We may also receive information from a parent or guardian, another authorised contact, a teacher, a competition or examination body, a referral partner, or another service provider where you have authorised the disclosure or it is otherwise permitted by law.

5. Why we use personal information

We may use personal information to:

• Respond to enquiries and recommend suitable classes or services

• Arrange trial weeks, enrolments, lessons, training programs and studio activities

• Process payments, manage accounts and communicate about invoices

• Keep dancers and clients safe and respond to injuries, emergencies or accessibility needs

• Record attendance, progress, assessments and qualifications

• Enter dancers in examinations, competitions, performances and events

• Communicate studio news, timetable changes, opportunities and important notices

• Provide customer support and handle feedback or complaints

• Improve our website, marketing, systems and services

• Meet legal, insurance, safeguarding, employment and record-keeping obligations

We may send marketing communications where you have consented or where permitted by law. You can unsubscribe using the link in an email or contact us at any time.

6. Sensitive and health information

Health and other sensitive information is collected only where reasonably necessary for our services and safety, and with consent unless an exception applies. Please provide accurate and current information about any condition, injury or support need that may affect safe participation.

7. Photographs and video

We only use identifiable photographs or video for marketing, social media or promotional purposes where the relevant consent has been obtained. Participation in classes is not conditional on providing promotional media consent. You may withdraw future consent by contacting us, although we may not be able to retrieve content already printed, lawfully published or shared by others.

8. Disclosure to other organisations

We may disclose information to people and organisations that help us operate, including teachers and authorised staff, payment processors, insurers, professional advisers, IT and website providers, email and messaging platforms, booking and studio-management platforms, cloud-storage providers, competition and examination bodies, event organisers, medical or emergency services, and government or regulatory authorities where required.

Our service providers include platforms such as Squarespace, GoHighLevel, Studio Pro, BAND, Trainerize, Google, Meta and payment providers. Some providers may store or process information outside Australia, including in the United States and other countries where their service infrastructure operates. Their handling of information is also governed by their own privacy terms.

We do not sell personal information.

9. Cookies and website analytics

Our website and connected services may use cookies, pixels and similar technologies to operate the site, remember preferences, measure traffic, understand advertising performance and improve our services. You can restrict cookies through your browser settings, although some site functions may not work correctly.

10. Storage and security

We use reasonable administrative, technical and physical safeguards to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These may include access controls, passwords, reputable service providers, staff limitations and secure payment processing.

No online or electronic system is completely secure. If an eligible data breach occurs, we will respond in accordance with applicable legal requirements.

11. Retention and deletion

We retain information only for as long as reasonably required for the purpose it was collected, our legal and insurance obligations, dispute resolution and legitimate business records. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it, subject to legal and technical limitations.

You may request access to personal information we hold about you or your child, or ask us to correct inaccurate or outdated information. We may need to verify your identity or authority before responding. In limited cases, the law may permit or require us to refuse access, and we will explain the reason where appropriate.
